Refund & Transfer Policy

1. No Refund Policy

All conference registration fees are non-refundable, except where a refund is expressly provided under this policy or required by applicable law.

Once a registration payment has been processed, refunds will not ordinarily be issued for cancellations requested by delegates, failure to attend the conference, or unused registrations, regardless of the date on which the request is made.

2. Transfer of Registration

A registered delegate may request to transfer their registration to another eligible individual, subject to the prior written approval of the INCPT AIIMS 2026 Organising Committee.

• The transfer must be mutually agreed upon by the original delegate and the proposed replacement.
• The delegate must notify the Conference Secretariat in advance.
• A formal written request must be submitted by email to incptaiims2026@gmail.com.
• The transfer will be considered complete only after approval from the Organising Committee.

3. Requirements for a Transfer Request

Please include the following information in your email:

• Original delegate’s full name.
• Registration number or transaction/reference ID.
• Original delegate’s registered email address.
• Replacement delegate’s full name, email address and designation.
• Institution or organisation details of the replacement delegate, where applicable.
• A written statement confirming the original delegate’s consent to the transfer.

Incomplete requests may require additional information before they can be considered. Any transfer remains subject to verification and approval by the Organising Committee.

4. Cancellation or Postponement by the Organisers

If INCPT AIIMS 2026 is cancelled by the Organising Committee, the registration fee will be refunded to registered delegates. Refund processing details and the applicable procedure will be communicated by the Conference Secretariat.

If the conference is postponed, rescheduled, or affected by circumstances beyond the organisers’ reasonable control, including force majeure events, the Organising Committee will communicate the available options and determine the appropriate course of action, subject to applicable law.

5. Refund Processing

Where a refund is approved under this policy, the Conference Secretariat will communicate the applicable process and any information required to process the refund.

The time taken for the refunded amount to appear in the delegate’s account may depend on the payment provider, bank, and payment method used for the original transaction.
